We're thrilled to unveil the latest enhancements to our shadow tasks capability in CiteOps 25.0. This upgraded feature now seamlessly spans multiple processes and workstreams. With the broader implementation of CiteOps across all operational workstreams, multi-process shadow tasks streamline communication among operational teams and departments. Teams can now shadow their work plans, when they impact other process groups, effectively linking them to pertinent shift plans. This streamlined linkage promotes efficient communication and information exchange, while also streamlining cross-process work management capabilities across all operational facets. Shadow tasks can serve as informational markers, or recipients can be prompted to accept or reject tasks with accompanying comments. This digital transformation of work management processes further accentuates operational efficiency and collaboration across all operational fronts.

The task screen showed the Assigned To field which allowed the user to select one shadow process

The “Assign To” field is renamed as Shadow To, promoting cohesiveness throughout the tool.

Shadow To section is displayed with

  • Shadow processes that allow a user to select one or more processes where this task will be shadowed to

  • Optional shadow reason to specify the purpose of the shadowing

  • Informational shadow option for creating a shadow task that processes need to be only aware of the work

  • All selected processes need to accept the task to be printed option for work which requires the acceptance of all involved processes

The required resource table showed the available resources that sometimes required scrolling and finding the required resource.

The required resource table is displayed with the Add Resource option so users can select the resource that they need.

A user CANNOT accept /reject multiple shadow tasks by the context menu.

There was no indication of shadow tasks so the shadow icon and the interactive acceptance buttons were not displayed on the taskbars. Hence, a shadow task could only be accepted / rejected on the task screen

Originator Process (e.g. Maintenance):

Depending on the report configuration the following information may or may not be displayed on the taskbars of the report.

  • shadow icon (black circles)

  • shadow reason

  • shadow comment

  • informational shadow icon (blue info icon)

  • all processes need to accept icon (yellow warning icon)

Other shadow task-related activities

Moving shadow tasks between shifts

Only the originator process of the shadow task can move the shadow task to a new shift.

When an accepted / pending / rejected shadow task is moved to a new shift then the acceptance status of this shadow task will be pending.

When a shadow task is moved to a shift then the acceptance status of this shadow task will be pending.

Duplicating shadow tasks

Only the originator process of the shadow task can duplicate the shadow task.

When an accepted / pending / rejected shadow task is duplicated then the acceptance status of the newly created shadow task will be pending.

Splitting shadow tasks on the Scheduler screen

When an accepted / pending / rejected shadow task is split in half on the Scheduler screen then the acceptance status of the newly created shadow task will be pending.

Shadowing a multi-shift task

Only one task of the multi-shift task can be shadowed to one or more processes.

Creating a multi-shift task from a shadow task

When a multi-shift task is created from an accepted / pending / rejected shadow task then the acceptance status of the newly created shadow tasks will be pending.
