How to add attachments to standard tasks?

Attach pictures, protocols, documents, instructions, etc. to your shift plans for supervisors and crews to take to the field

A Standard Task functions like a stamp that users can schedule repeatedly for different shifts. Users can set up recurrence on standard tasks when the task is repetitive.

The Recurrence tool allows users to set the shift, frequency and repetition for the task.


PART 1: How to add attachments to unscheduled standard tasks?

To add attachments to a standard task that is not scheduled yet, follow the next steps:

  1. Click on the Planning Board icon.

   2. Double Click on the standard task that requires the attachment.

3. Click on Add Attachments.

4. Click on Add.

5. Click on Search File to select the attachment.

6. Click on Tags to display the list of available tags or to create a new tag. These tags are useful to categorize attachments and it makes easier for users to identify different attachments.

7. Click on Expiry Date to select a date if the attachment has an expiry date and it needs to be updated after a specific date.

Tip 1: Compliance policies related to tasks with expired files can be set up. For this, contact the site CiteOps Owner or Commit Works Support Team to discuss.

8. Click on Upload.

9. Click on OK to return to edit standard task window.

Tip 2: Users can add multiple files, delete specific files and download files.

  • Delete a task.

Tip 3: When printing shift plans, users can select what attachments to include.

  • Users can select all attachments.

  • Users can select specific attachments and search through the attachments list.


PART 2: How can I add attachments on recurring scheduled tasks?

  1. Click on the scheduled task.

2. Follow steps 3 to 9 from PART 1.
