Adding a Work Schedule Rule with a Shift Pattern
In this exercise, we will add a Work Schedule Rule called 'E Crew' in CiteOps.
E Crew will have a pattern of:
2 weeks of day shifts,
2 weeks off,
2 weeks of night shifts,
2 weeks off
repeat.
1. Click on the Manage icon then select 'Work Schedule Rules'
2. Click 'Add Work Schedule Rule'
3. Enter the name of the Work Schedule Rule in the empty row that appears.
4. Add a Short Code
The Short Code allows you to add an abbreviated form of your new WSRs name.
This will be filled by default and will look something like the example seen above (WSR0001).
If the name is already short enough (roughly 10 or fewer characters) then simply keep it the same as the regular name as shown in the other crews listed here.
Ticking the ‘Hide in Roster’ field just removes the rule from the top of the Roster Screen. You can almost always leave this unticked.
5. Set the Start Date and Reference Date in the Shift Patterns section. These can all be changed by double clicking on them.
Start Date is the effective date of the pattern.
Reference Date enables to calculate the Shift Pattern indefinitely into the future or the past. The Reference Date sets the first day of the Shift Pattern. For example, if the Reference Date refers to a Sunday than Cycle Day 1 = Sunday.
Pattern Length By default this is 21 days. Since our new rule involves day shifts and night shifts it will need to be extended to include all days within the rotation and not just the working days. This will be further clarified in later steps.
6. Adjusting Shift Patterns.
Head over to the right hand side of the screen to view the shift pattern in detail. The number of days entered in 'Pattern Length' will determine the number of days that show up here.
If E Crew only involved day shifts we could cut our pattern length down to 28 days but since we must account for night shifts, the full length of our rotation is actually 56 days, including all the days off.
Info
You can add more than one Shift Pattern to a Work Schedule Rule so you are able to plan for any future changes to the pattern. To add Shift Patterns, click on Add (on the Shift Patterns section) and enter the details of the Shift Pattern.
Note: To add an additional pattern your current pattern must include an end date.
If you make any mistakes or errors when setting up any work schedule rules, all fields can be adjusted by finding your way back to the manage screen.
