Overview
This QRG document outlines the process for CiteOps Users when using the Audit Log function in the CiteOps Application.
Only authorised users will be provided with access to the new Audit Logs screens and functionality.
What is the Audit Logs functionality?
Audit Logs provide information on data changes within CiteOps. The functionality provides a comprehensive record that enables an understanding of changes and who performed them. This functionality looks to facilitate accountability, transparency, and thorough analysis of data alterations for organizational oversight and decision-making purposes.
Which Logs can you review?
For the first release of Audit Logs, you can track any logs about the following Categories and Activities:
How do you Access Audit Logs?
Go to the Manage screen and Select the Audit logs Menu. To access the Audit Logs Menu, you must have the Auditor role. Initially, the auditor role is included in the Admin role.
Once you access the Audit Logs Menu, you will have 4 filters to select from.
1. Date: Allows you to select the desired timeframe you want to review
a. Last 24 Hours
b. Last 7 Days
c. Last 30 Days
d. Custom Range: Select Start Date & Time; Select End Date & Time
2. Category
a. Equipment
b. Location
c. User
d. Scheduled Tasks
3. Activity
a. Depending on the selected category (i.e Scheduled tasks), you will receive pertaining options.
4. Information
a. The ability to add additional columns enhances your analysis of the audit logs by providing more detailed information. Adding columns makes the audit log easier to understand and provides deeper insights. (i.e Scheduled Tasks)
Audit Logs will automatically filter and display the logs that match the selections, arranged from newest to oldest. For the display, the Audit Logs functionality shows the date & time the log was modified, who modified it, what activity was performed, and the details of the activity.
It will also allow you to filter the “Modified At” and “Modified By” columns for a more focused analysis.
Analyse a Log
To analyse a log, click on the desired entry. Details will expand below the log. On the left side, you'll see information about the filtered 'Activity,' and on the right side, you'll see the details of the changes performed.
Additional Functionality
Audit Logs provides the users with additional functionalities as detailed below:
1. Refresh button: This function allows:
The auditor to analyse data for a specific date and time range. Audit logs will only display the logs that match your criteria.
For example, EMP Manager wants to know how many tasks are created per hour today ( June 7th) between 2 pm and 6 pm, with hourly updates.
At the first check at 3 pm, after the first hour finished, only one log meets the criteria.
At 4 pm, the auditor clicks on the refresh button to check if new tasks were created between 3pm and 4pm. After clicking the refresh button, a new log that meets the criteria has been added to the analysis.
If the refresh button is clicked after the initial audit log has been created, additional data that meets the criteria will be included into the audit log. This occurs as numerous changes are performed every minute in CiteOps, allowing auditor to analyse the data without interruptions.
2. Columns: This function allows:
o The auditor to include IP Address and Interface columns in the analysis.
IP Address: the system records the IP address of the computer that the user used (to initiate the change)
Interface: Indicates that the change has been performed on CiteOps.
3. Download (or export): For this release users can download logs into a PDF file output only.
Note: In future releases users will be able to export their logs into an Excel format.
4. Search field:
o Allows users to “Refine” their search queries by typing multiple keywords, e.g. Mine Services Night (instead of Mine Services process night shift)
o All Keywords must be separated by a space to provide correct results.
5. Clear Button:
o Removes all search fields and column filters.
